We are seeking a highly organized and detail-oriented Virtual Executive Assistant (EA) to support our CEO. The ideal candidate is obsessed with organizational tasks, has a keen eye for detail, and possesses a genuine passion for being an executive assistant. They are a problem solver with experience in scheduling calls across multiple time zones and are comfortable working in the US Central Time [CT] zone. Excellent English language skills, good command of digital tools, and a proactive and self-motivated approach are essential.

Job Description:

  • Assist the CEO in organizing and managing daily tasks and activities.
  • Maintain and arrange the CEO’s calendar, including scheduling appointments, meetings, and events.
  • Organize the CEO’s day-to-day schedule with precision to maximize productivity and efficiency.
  • Take accurate minutes of meetings and distribute them to relevant stakeholders.
  • Support the CEO in email management, including organizing and cleaning the inbox, prioritizing messages, and drafting responses.
  • Coordinate and schedule conference calls and meetings across multiple time zones, ensuring smooth communication and coordination.
  • Provide administrative support, including handling correspondence, preparing documents, and maintaining files and records.
  • Demonstrate exceptional attention to detail in all tasks, ensuring accuracy and high-quality work.
  • Act as a problem solver, proactively identifying and resolving issues or challenges that may arise.
  • Maintain a neat and tidy work environment, both physically and digitally, ensuring files and documents are properly organized and easily accessible.



  • Humble and eager to learn
  • Bachelor’s degree in any relevant field
  • Minimum of 5 years of experience as a secretary, personal assistant, or executive assistant, with a proven track record of success. 
  • Super efficient and able to multi-task
  • Tech Savvy
  • Superb English proficiency, with both written and verbal skills, is essential to effectively communicate with internal and external stakeholders. We also value an American English accent, as it adds an extra touch of authenticity to our interactions.
  • Possess own laptop to ensure a smooth workflow and productivity.
  • Possess own monitor would be advantageous
  • Possess a headset or microphone for video calls, enabling clear and effective communication.
  • Have a reliable internet connection to support seamless virtual communication and collaboration.
  • Comfortably work in the US Central Time (CT) zone and adjust availability as needed when the CEO travels to different time zones.
